Connecting OTYS embedded to your telephony platform is extremely important for improving customer satisfaction and working more efficiently. With our integration tool Bubble, during an incoming or outgoing phone call, you no longer have to search for customer data manually but it appears directly in a pop-up notification on your PC screen and from there you can perform various actions such as opening a relation card.
Embedded Pop-up notification
Bubble has several unique features. This integration ensures that all relevant customer information is immediately displayed during a phone call. From the overview, which can also be manually opened and is fully customizable to the preferences of the user, department, or company, you can directly perform the desired action. The information shown in the pop-up can be configured under the Parameters tab parameters, and the available buttons can be found under the Buttons tab buttons. When transferring a call to a colleague, the customer information is carried over as well. By default, the pop-up notification is visible in OTYS from the moment your softphone, desk phone, or other device starts ringing until the moment the call ends.
Functionalities
In addition to the above mentioned pop-up notification capabilities, Bubble is equipped with many more functionalities. For example, you can activate multiple CRM integrations under the same user at no extra cost, which can be useful if you use multiple software applications within your company. The full list of features can be found under tab functions, but we have already listed a few important ones for you:
- Dialing out with one click on a phone number in your CRM, browser or other program with the Click & Call feature.
- With Call Control, you control your desk phone, softphone or other device directly from OTYS (provided your telephony platform supports it).
- Search CRM contact information directly in the Searchbar desktop application even if there is no phone call at that time.
- The Call Waiting function lets you easily switch between pop-up notifications of incoming phone calls.
- If several relations are known under one number you can browse through the results with the Multi result function.
- Self-created fields in your CRM can be shown in the pop-up thanks to the Custom Field feature.
- The Call History function allows you to see all contact moments with the phone number over the last 90 days so you can immediately see which colleague had the last contact.
- At the end of every call, there will be pushed a Call Log to the CRM, so that every call is logged under the relation card in the CRM.
- Make a call note immediately with the Call Note function that will be logged together with the Call Log and becomes visible to you and your colleagues in the Call History.
- Immediately give your call registration the desired Call Tag that can be made available at administrator level.
- Determine the Theme Modes yourself by setting the colours to day or dark modes.
- Easy and secure login based on Single sign-on (Microsoft, Google or Apple account).
Customization
To meet your specific needs, Bubble is equipped with the Automations module. With this module it is possible to add your own If-This-Then-That flows. Think, for example, of running a script or automatically opening the call-note-screen instead of having to click it open.
Technical
Connecting Bubble - and thus the OTYS embedded Software CRM connector - to your telephony platform is very easy. The procedure is different per telephony platform but one thing they all have in common, you don't have to be a technician to do it.

Click to dial from CRM
Start an outgoing telephone call with one mouse click from your CRM application or any website.

Hotkey dial from CRM
Is a phone number not clickable in your CRM? With this function you can still make a call.

Copy to dial
Select a phone number and get a suggestion to call directly.

Activity Hub
In the Activity Hub, you can view activities such as a call log with notes or a conversation transcription that still needs to be saved in the CRM. You can choose to do this automatically or manually. Notes and transcriptions can be edited before they are written to the CRM.

Call control
Provided your telephony platform supports it, full call control is available in the pop-up notification. This allows you to control your desk phone, softphone or other device from the notification.

Call logging

Call logging (+AI transcription)
Call details, call notes, and an AI transcript of the conversation can be stored directly in your CRM under the customer record. To save AI transcripts, the connected telephony platform must support this feature.

Mark call records with predefined CRM tags.

Call waiting
If you receive a second call while already on the phone, the Bubble365 apps will display this second call at the bottom of the pop-up notification, allowing you to easily switch with a single mouse click. In other apps, a second notification will appear instead.

The custom fields that have been created in the CRM application yourself can also be used to display in the pop-up.

SearchBar
Search CRM contact information from the 'SearchBar' desktop toolbar. From here you can open the customer card, start a phone call directly, send an email/WhatsApp/Microsoft Teams message or view the call history. Theme mode
Switch the colour mode manually or based on your system preferences to day- or darkmode.

Bubble Desktop
Bubble is installed on each user/workstation and runs locally on the user's computer.

Bubble Cloud
Bubble is hosted in the cloud, so no local installation is required. Note: This option requires the Bubble Cloud add-on license. For cloud hosting, it is always necessary for our cloud IP addresses to have access to the CRM/telephony environment.

Realtime API (company based)
Authentication with CRM application at company level.

Clone template
A template must be used when cloning profiles because user authorization takes place, which cannot be cloned.

Bubble365 Mobile App
With the Bubble365 Mobile App you can take your CRM functionality everywhere, directly on your smartphone. For every phone call – incoming or outgoing – you immediately receive a notification showing the name as stored in your CRM. From that notification you can easily open the app to view customer information or perform actions. On Android we even show notifications for calls handled through the native dialer, and with a fixed-mobile integration this also applies to iOS. In all other cases, notifications are triggered based on the phone calls running through the connected telephony platform. You can also search your CRM contacts in real time via the app (if your CRM supports the SearchBar), ensuring you always have the right information at hand.
